This policy governs all course purchases made through Med Ace, clearly defining the terms for both digital (Online) and physical (Offline) educational offerings. All refund requests must be submitted in writing via email to support@medace.org
The online course refund policy is designed to balance buyer satisfaction with the absolute protection of Med Ace's digital intellectual property.
Eligibility for Refund: A 100% refund will be granted only if the refund request is received within fourteen (14) calendar days of purchase AND the learner has NOT accessed or clicked into any part of the course content. This includes viewing any video, accessing lecture slides, or attempting a quiz.
Non-Refundable Purchases: The purchase becomes 0% refundable immediately if:
1. Any content is accessed: Accessing any part of the course content is considered full delivery of the digital product’s intellectual property, regardless of the time elapsed since purchase.
2. Access exceeds fourteen (14) calendar days: After 14 calendar days from the time of purchase, the sale is considered final, and no refund will be issued, regardless of content access level.
Full access to the course and all associated materials is automatically revoked upon processing any refund.
This policy reflects the high, non-recoverable costs associated with venue booking, material preparation, and instructor logistics for in-person events. Refunds are based on the Official Course Start Date.
Refund Eligibility and Tiers:
● 30 Calendar Days or More: A 100% refund will be provided, minus a mandatory 12.5% administrative processing fee deducted from the total payment.
● 15 to 29 Calendar Days: A 50% refund of the total course fee will be issued. The remaining 50% is non-refundable due to sunk logistical costs.
● 14 Calendar Days or Less: No refund (0%) will be issued. At this late stage, all operational costs are fully committed, and the seat cannot be resold without significant loss.
● "No Show": Failure to attend the course without prior written cancellation notice results in no refund (0%).
To provide flexibility and maintain customer goodwill while protecting Med Ace's revenue, the following non-cash alternatives are available:
● Course Credit: If a cancellation request is received less than 30 days but more than 14 days before the course start date, the participant may opt to receive full course credit equal to the tuition fee paid. This credit may be applied to any future Med Ace course (online or offline) within 12 months of the original course start date.
● Participant Substitution: The registered participant may transfer their enrollment to a qualified colleague or peer at any time up to 48 hours before the course starts, provided the substitute meets all stated prerequisite qualifications. However, due to the lengthy preparation and submission time required by the competent accrediting authority, the official certificate will not be issued to either the original registered participant or the substitute.
Med Ace reserves the right to cancel or postpone any course (online or offline) due to unforeseen circumstances, including low enrollment or instructor incapacitation.
● In the event of cancellation, Med Ace reserves the right to postpone the course once. The new course date will be rescheduled and completed within six (6) months of the original start date.
● If a course is fully canceled (or if the participant cannot attend the single rescheduled date), participants will be offered a choice between a 100% full refund or full course credit toward a future date or course.
